Licensing Terms

This privacy policy ("policy") will help you understand how Autonix ("us", "we", "our") uses and protects the data you provide to us when you visit and use autonix.io, autonix.app, or any custom domain setup by a Customer pointing to our services ("website", "service").

We reserve the right to change this policy at any given time, of which you will be promptly updated. If you want to make sure that you are up to date with the latest changes, we advise you to frequently visit this page.

Customers: Those who have created an account at https://autonix.io and utilize our software to create trackable dynamic QR Codes, links and other experiences.

Visitors: Those who utilize the service via QR Codes and Links provided by our Customers either on https://autonix.app or a custom domain chosen and distributed by an Autonix Customer.

Information We Collect

When you scan an Autonix QR Code, click an Autonix Link, or visit the Website, we may collect the following data:

  • The QR Code, Link or Website Page you interacted with.
  • Your IP address.
  • The User Agent of your web browser.
  • The personally identifiable information that you provide.
  • Other provided information such as interests and preferences.
  • Data profile regarding your online behavior on our website.
  • Photos you choose to upload at check-in, but only when a Customer has turned on photo check-in for that QR Code or link (see “Photos You Upload at Check-In” below).
  • For signed-in Customers: account identifiers (such as name, email, and user id) and how you use the dashboard (pages viewed, features used).

Why We Collect Your Data

We are collecting your data for several reasons:

  • To properly direct visitors to the correct location.
  • To provide the Autonix service for its Customers, as described throughout http://autonix.io
  • To support or improve our services and products (including product analytics), enforce compliance, protect rights, and ensure safety.
  • To operate optional AI features a Customer administrator enables, such as Ask AI and tracker URL suggestions.
  • For Autonix and its Customers to send emails and text messages to Customers and Visitors, in accordance with the Service.
  • To customize our website according to your online behavior and personal preferences such as localization.

Photos You Upload at Check-In

Some Customers use Autonix for proof-of-service, proof-of-delivery, or condition-reporting workflows. When a Customer enables photo check-in on a specific QR Code or link, Visitors may be asked (or, if the Customer requires it, required) to attach one or more photos to their check-in. This is a Customer-controlled setting and is off by default.

  • Photos are only collected when you upload them as part of a check-in on a tracker that has photo check-in turned on.
  • Before a photo leaves your device, it is resized and converted to a standard JPEG image. This process strips embedded metadata such as EXIF GPS coordinates and camera details, so that data is not stored with the photo.
  • Photos are stored in private, access-controlled storage and are shown to the Customer (and to Autonix, as their service provider) through short-lived, signed links. They are not made publicly browsable.
  • Photos you submit are associated with your check-in and belong to the Customer who operates that QR Code or link. Autonix processes them on the Customer's behalf and does not use them to train AI models or for advertising.
  • We retain photos in line with the Retention section below and the Customer's own retention needs. To access, correct, or delete a photo you submitted, contact the Customer that operated the check-in, or reach us at support@autonix.io and we will help route your request.

Please only upload photos that are appropriate for the check-in and that you have the right to share. Avoid capturing sensitive personal information you do not intend to disclose.

Safeguarding and Securing the Data

Autonix is committed to securing your data and keeping it confidential. Autonix has done all in its power to prevent data theft, unauthorized access, and disclosure by implementing the latest technologies and software, which help us safeguard all the information we collect online.

Our Cookie Policy

Once you agree to allow our website to use cookies, you also agree to use the data it collects regarding your online behavior (analyze web traffic, web pages you spend the most time on, and websites you visit).

The data we collect by using cookies is used to customize our website to your needs. After we use the data for statistical analysis, the data is completely removed from our systems.

Please note that cookies don't allow us to gain control of your computer in any way. They are strictly used to monitor which pages you find useful and which you do not so that we can provide a better experience for you.

If you want to disable cookies, you can do it by accessing the settings of your internet browser.

Third-Party Cookies
Notwithstanding anything else in this policy, we and/or our partners may place or read use IP and/or cookies to enable you to receive personalized ads or content. These cookies contain zero personally identifiable information. The cookies may reflect de-identified demographic or other data linked to data you voluntarily have submitted to us on our network, e.g., your email address, which we may share with a data provider solely in hashed, non-human readable form.

Users may also express their choices for display advertising, through the following platforms: Digital Advertising Alliance opt-out platform or the Network Advertising Initiative opt-out platform. We and/or our partners use IP and/or cookies and web beacon technology to associate certain Internet-related information about you, such as your Internet Protocol address and certain online behaviors, such as opening emails or browsing websites or interacting with apps. Such information is used to personalize ads or content and may be shared with our network partners.

Service Providers We Share Data With

We use trusted third-party processors to operate Autonix. They receive only what they need to provide their service to us, and they are not permitted to use that data for their own marketing. Two processors Customers often ask about are PostHog and OpenAI.

PostHog (product analytics)

We use PostHog to understand how Customers use the signed-in Autonix dashboard, and — only if you opt in — the QR Code ToolKit Chrome extension. PostHog may receive:

  • Pages viewed and features used.
  • Device, browser, and approximate location derived from IP.
  • For signed-in Customers: account identifiers such as user id, name, email, and company.

We do not send Visitor check-in answers, form fields, QR-code or vCard contents, or scan-level personal data to PostHog. Chrome extension analytics are off by default and only run if you enable them in the extension settings.

OpenAI (optional AI analysis)

Some Autonix features can call OpenAI to answer questions about an account's own analytics or to suggest tracker names and UTM values from a destination URL. This is a Customer-controlled setting:

  • Existing accounts default to off. No account data is sent to OpenAI unless an administrator turns it on in Workspace settings (AI analysis).
  • New accounts (including free) have it on by default so they can try Ask AI. Free accounts get a limited number of questions, then an upgrade prompt. An administrator can turn it off at any time.
  • When off, Ask AI is hidden and URL suggestions stay on our servers (hostname heuristics only).

When the setting is on, we send only:

  • The Customer user's question (Ask AI).
  • Aggregated scan metrics for that account (counts and rates by tag, tracker type, and tracker name — not individual Visitor rows).
  • A destination URL the Customer typed when creating a tracker (for name / UTM suggestions).

We do not send Visitor emails, form answers, IP addresses, GPS coordinates, or other scan-level personal data to OpenAI. We do not use Customer or Visitor data to train OpenAI models.

Links to Other Websites

Our website contains links that lead to other websites. If you click on these links Autonix is not held responsible for your data and privacy protection. Visiting those websites is not governed by this privacy policy agreement. Make sure to read the privacy policy documentation of the website you go to from our website.

Retention

At Autonix, we prioritize your privacy. We keep your data in a recognizable format only as long as required to serve the purposes for which it was gathered, including meeting any legal or regulatory obligations. Given that we might acquire and utilize the same type of personal data for various reasons in varied scenarios, there isn't a standard retention duration for each data category. To set the right retention period for your data, we assess factors like potential risks from unauthorized access, the volume and sensitivity of the data, and our processing objectives. We also evaluate if the same objectives can be met through alternative means and consider any legal stipulations. However, for backup and business continuity, copies of your information might be kept longer than the original data.

No matter where you are based, or if you're a customer or end user, Autonix makes it easy to comply with local and international data compliance:

  • When you are filling the forms on the website, make sure to check if there is a box which you can leave unchecked, if you don't want to engage in certain services provided by us.
  • The right to be informed.
  • The right to rectification.
  • The right to erasure.
  • The right to restrict processing.
  • The right to data portability.
  • And rights in relation to automated decision making and profiling

Restricting the Collection of your Personal Data

At some point, you might wish to restrict the use and collection of your personal data. You can achieve this by doing the following:

  • When you are filling the forms on the website, make sure to check if there is a box which you can leave unchecked, if you don't want to engage in certain services provided by us. At any time you may alter your settings or make a request to our team.
  • Customer administrators can turn off OpenAI analysis in Workspace → AI analysis. That stops Ask AI and model-backed URL suggestions for the whole account.
  • Chrome extension analytics can be left off (the default) or disabled later in the extension settings.
  • If you have already agreed to share your information with us, feel free to contact us and we will be more than happy to change this for you.
